Product 01: Lodges & Chapters

Masonic Tools

A set of applications for running the unit. Dining and event management is live and in use today. Secretary and Treasurer modules are in active development, and share the same records and the same single sign-on.

For: Secretaries, Treasurers and Dining Members

  • Live Dining: events and venues, RSVPs with dietary requirements, waitlists, seating and table planning, printed place cards, kitchen and catering reports, Stripe payments and QR check-in.
  • In development Secretary: member records, meeting minutes, documents, attendance and unit communications.
  • In development Treasurer: subscriptions, budgets, payment processing, financial reporting and audit trails.

Product 02: Masonic halls & venues

Membership Manager

Membership and loyalty cards for the halls themselves. Digital QR passes, printed cards for the till, and passes that live in Apple Wallet or Google Wallet, all issued against one register per venue.

For: Hall committees, venue managers and bar staff

  • Digital and physical: QR passes for phones, printed stock for the till, or both. QR only numbers never touch printed cards.
  • Phone wallets: members add the pass themselves, badged with the venue’s own name and logo.
  • Renewals on the same number: the extra year runs from the current expiry, not the day they pay.
  • Replacements: a reissued card keeps the original expiry date.
  • Payments you already take: card checkout, open banking, cash recorded at the desk, free and complimentary plans.
  • Card queue: staff encode a stack against a connected card writer, tracking ready, encoded and issued.
  • Credits and reports: membership income reported separately from credit pack purchases.
  • Partner API: issue a membership from the till, the venue website or an existing club system.

Product 03: Light Blues & Royals clubs

LBR Club Membership Platform

Everything a Light Blues and Royals club needs to run itself, in one platform. It goes well beyond a membership list, taking in finance, merchandise, recruitment, communications and the club’s own public website.

For: Club Secretaries, Treasurers and committees in UGLE lodges

  • Members: searchable by name, email, Grand Lodge reference or Lodge number, with flags, status and age profile.
  • Events: booking and attendance across the club calendar.
  • Finance: subscriptions, income and club accounts.
  • Merchandise: club regalia and goods, ordered and tracked.
  • Recruitment: prospects followed through to initiation.
  • Communications: shared inboxes, mailing and automations.
  • Website: a public club site, managed from the same platform.
  • Data import: bring in Province membership data instead of rekeying it.

Product 04: Provinces & Districts

Provincial Duties

Provincial engagements planned, assigned and communicated, for any order. Executives and their escorts are matched to events, and the receiving unit is kept informed from the moment the duty is set.

For: Provincial Executives, Provincial Grand Secretaries and Directors of Ceremonies

Every candidate is shown with what you need to choose well: how far they travel, what they already have on, how recently they visited that lodge or location, and how often they have been paired with that executive before.

  • Events & pipeline: every engagement across the Province, tracked from request to report.
  • Assignment with context: distance, availability and full duty history, side by side.
  • Escorts: assign the executive and their escort together.
  • Rota & availability: officers record when they cannot serve.
  • Communications: the unit told directly, with documents attached.
  • Calendar sync: duties land in officers’ own calendars.
  • Reporting: duties by officer, events over time, and an audit trail on every change.
  • Any order: not limited to the Craft.

Product 05: Provincial Executives

Data Warehouse

Management information for Provinces, built from the Province’s own records. Membership, retention, growth and progression are measured, compared and ready to export, so decisions rest on what the figures actually show.

For: Provincial Executives and their teams

  • Membership statistics: totals, averages and trends across the Province.
  • Lodge vs age profile: heat-mapped age banding, lodge by lodge.
  • Resignation heat map: where retention is failing, and when.
  • Lodge growth matrix: who is growing, who is contracting.
  • Degree stage analysis: progression by lodge and by temple.
  • League tables: comparable measures across units.
  • Batch import: scheduled loads from the systems you already keep.
  • PDF export: every table ready for the Provincial meeting.

Deliberately not public. The Data Warehouse holds a Province’s own membership records, so there is no open sign-up and no public demonstration instance. Access is arranged directly with the Province, and one Province’s data is never pooled with another’s.

Our approach

Why Ashlar

  • Built only for Freemasonry

We do not adapt generic membership software. Grand Lodge references, Lodge numbers, ranks, orders, returns, escorts and festive boards are built into our systems from the start, rather than bolted on as custom fields.

  • Your data, handled properly

Membership records are personal data and we treat them that way: encrypted storage, role-based access, audit trails on changes, and processing that meets UK GDPR obligations. Your Province’s data remains your Province’s.

  • Bespoke by origin

Every product here began as a commission for a real Lodge, club or Province with a problem to solve. That is still how we work, and the products show what we can do rather than mark the limit of it.

  • Built by members

We are Freemasons. You will not spend the first meeting explaining what a summons is, why the Almoner needs different access from the Secretary, or what happens at an installation.

Bespoke development

If it does not exist yet, we build it

Our five products cover the ground we have been asked for most often, but they are not the boundary of what we do. Perhaps your Province, Lodge or club has a process that no existing software fits: a return nobody automates, a report assembled by hand every quarter, a register kept in a spreadsheet because there was never anything better. That is exactly the sort of work we take on.
